A staff schedule in Google Sheets that adds up hours and labour cost

Updated 2026-10-17 · Small business, landlords and freelancers · by CyberMax

Short answer

Make one row per shift (employee, day, start, end, break minutes). Hours = (end - start) × 24 - break / 60, wrapped in MOD so overnight shifts work. SUMIF adds each person's weekly hours, and hours × hourly rate gives labour cost. Flag anyone over 40 hours.

Copy-paste code

Shifts tab: A employee, B day, C start, D end (time), E break minutes, F rate

Hours G2: =MOD(D2 - C2, 1) * 24 - E2 / 60
Cost H2: =G2 * F2
Weekly hours (person): =SUMIF(A:A, "Ana", G:G)
Over 40 h warning: =IF(SUMIF(A:A, A2, G:G) > 40, "OVERTIME", "")
Week labour cost: =SUM(H:H)

Good to know

US federal law (FLSA) requires overtime pay above 40 hours in a workweek for non-exempt employees; some states add daily overtime (for example California over 8 hours a day). Check your state.

Rest-between-shifts rules exist in some cities; a warning column for short gaps helps.

Questions

Why MOD?

A shift from 22:00 to 06:00 would otherwise come out negative.
