Bakery invoice template for wholesale accounts and custom cake orders

A bakery bills two very different customers: cafés that take a standing weekly order on account, and one-off custom cake orders paid mostly up front. The wholesale invoice below opens in Billsprig with a week's delivery filled in.

What matters for bakeries

Wholesale: one invoice per delivery week

List each product with the quantity delivered over the week (by the dozen or each), on terms like Net 14. Matching the café's own delivery notes avoids disputes.

Custom orders: deposit first

Ask for a deposit to start a custom cake, invoiced on its own, and the balance before pickup. Put the pickup date and allergy notes in the invoice notes.

Credits for returns or shorts

If a delivery was short, write a separate line with the shortfall and quantity, or reduce the quantity, and say so in the notes.

Do I charge sales tax to a café?

Sales of food for resale are usually exempt with a resale certificate, but rules vary by state; set the tax % per line to match what applies.

Can I invoice in dozens?

Yes. Put "(dozen)" in the description and the number of dozens in the quantity.

How do I bill a custom cake?

Send a deposit invoice when the order is booked and a balance invoice before pickup, both with the order details in the notes.
